New Lead Management
- Log into HubSpot.
- Go to Contacts -> Contacts.
- Click on the view (1) VPL - New – Unassigned.
- Select all contacts.
- Click on Edit.
- Edit the Relationship field and change it to VoIPline (Only if the field is blank).
- Click Update.
- Click on Edit.
- Edit the Source field and change it to Automatic Signup (Only if the field is blank).
- Click Update.
- Click on Edit.
- Edit the Lead Status field and change it to Open.
- Click on Update.

Click on Assign and change the contact owner to yourself.
Checking Open Leads that have Active accounts - Go to Contacts -> Contacts.
- Click on the view (3) VPL - Lost – Active.

Go into each lead & check for existing Deals.
- If there are no Deals, Add a New Deal. Go to Step 18.
- If there is an existing Deal, change the Deal Stage to Deal Closed & Update the forecast amount.

Change the Lead Status to Closed Deal & send the HubSpot Template “Provisioning follow up”.
Checking Open Leads that have Trial Expired accounts
- Go to Contacts -> Contacts.
- Click on the view (4) VPL - Open - Trial Expired.

Check if the “Date of last meeting booked” field.
- If it is blank, Go to Step 23.
- If it is not blank, go into the Lead and change any Deal Stage to Closed Lost. Go to Step 23.
- Select all contacts.
- Click on Edit.

Edit the Lead Status field and change it to Lost.
Emailing Open Leads with Verified Accounts
- Go to Contacts -> Contacts.
- Click on the view (5) VPL - Open – Verified - No Contact.

Send the HubSpot Template “Link to KB + book a demo session”.
Checking Open Deals that have Active Accounts
- Go to Contacts -> Contacts.
- Click on the view (6) VPL - Open Deal – Active.

Go into each lead & check for existing Deals.
- If there are no Deals, Add a New Deal.
- If there is an existing Deal, change the Deal Stage to Deal Closed & Update the forecast amount.
Note: This means that you have had a previous demo with this lead, and this account is yours. You can now earn a commission from this account, follow the process to assign accounts to yourself in billing.
- Change the Lead Status to Closed Deal & send the HubSpot Template “Provisioning follow up”.
