Customer Success CRM Daily VPL Lead Management

New Lead Management

  1. Log into HubSpot.
  2. Go to Contacts -> Contacts.
  3. Click on the view (1) VPL - New – Unassigned.
  4. Select all contacts.
  5. Click on Edit.
  6. Edit the Relationship field and change it to VoIPline (Only if the field is blank).
  7. Click Update.
  8. Click on Edit.
  9. Edit the Source field and change it to Automatic Signup (Only if the field is blank).
  10. Click Update.
  11. Click on Edit.
  12. Edit the Lead Status field and change it to Open.
  13. Click on Update.
  14. Click on Assign and change the contact owner to yourself.


    Checking Open Leads that have Active accounts

  15. Go to Contacts -> Contacts.
  16. Click on the view (3) VPL - Lost – Active.
  17. Go into each lead & check for existing Deals.
    • If there are no Deals, Add a New Deal. Go to Step 18.
    • If there is an existing Deal, change the Deal Stage to Deal Closed & Update the forecast amount.
  18. Change the Lead Status to Closed Deal & send the HubSpot Template “Provisioning follow up”.

    Checking Open Leads that have Trial Expired accounts

  19. Go to Contacts -> Contacts.
  20. Click on the view (4) VPL - Open - Trial Expired.
  21. Check if the “Date of last meeting booked” field.
    • If it is blank, Go to Step 23.
    • If it is not blank, go into the Lead and change any Deal Stage to Closed Lost. Go to Step 23.
  22. Select all contacts.
  23. Click on Edit.
  24. Edit the Lead Status field and change it to Lost.

    Emailing Open Leads with Verified Accounts

  25. Go to Contacts -> Contacts.
  26. Click on the view (5) VPL - Open – Verified - No Contact.
  27. Send the HubSpot Template “Link to KB + book a demo session”.

    Checking Open Deals that have Active Accounts

  28. Go to Contacts -> Contacts.
  29. Click on the view (6) VPL - Open Deal – Active.
  30. Go into each lead & check for existing Deals.
    • If there are no Deals, Add a New Deal.
    • If there is an existing Deal, change the Deal Stage to Deal Closed & Update the forecast amount.
      Note: This means that you have had a previous demo with this lead, and this account is yours. You can now earn a commission from this account, follow the process to assign accounts to yourself in billing.
  31. Change the Lead Status to Closed Deal & send the HubSpot Template “Provisioning follow up”.
